Executive Assistant to Producer
Full-Time | Hybrid | Significant Travel | U.S.-Based
Entertainment & Theatrical Producing
Position Overview
The Executive Assistant will serve as the right hand to an Executive Producer overseeing multiple companies, productions, and events across the U.S. and Europe. This role combines high-level executive support, digital systems management, and project coordination, with long-term growth potential into producing and general management. It requires exceptional organization, discretion, communication, and technical fluency. Work hours are not traditional; evenings, weekends, and travel are frequent and integral to the position.
Key Responsibilities
Executive & Administrative Support
• Manage, organize, and triage the Executive Producer’s inbox; determine next steps, draft responses, summarize key information, and ensure follow-through.
• Maintain intricate calendars across multiple companies; schedule and prepare materials for meetings.
• Manage contacts and lines of communication with internal teams, external partners, and creative collaborators.
• Draft and send professional correspondence on behalf of the Executive Producer.
• Work autonomously with discretion, judgment, and a strong sense of priority.
Digital Systems, Organization & Reporting
• Oversee and maintain clean, logical digital systems across Google Drive, Dropbox, etc.
• Organize, name, and distribute files daily; keep records up to date and consistent across companies.
• Generate reports and basic analyses; translate findings into actionable insights.
• Utilize technology and AI tools thoughtfully to streamline workflows and enhance efficiency.
Project Tracking & Coordination
• Track progress across multiple projects and internal initiatives; create and update actionable task lists.
• Liaise regularly with general management, production teams, and external partners.
• Capture notes, document decisions, and help maintain operational clarity across all projects.
• Develop a deep understanding of all ongoing activities and act as a translator of information for efficient executive decision-making.
Travel & On-Site Support
• Arrange and coordinate domestic and international travel.
• Provide on-site support at events, productions, and meetings.
• Significant travel required February–August 2026 in the United States and Europe, with additional travel as projects require.
Personal Assistance
• Support occasional personal tasks, such as simple financial spreadsheets or logistical errands while traveling.
• Assist with other personal assistant duties as assigned.
Ideal Candidate Profile
• 2–3 years of administrative experience; prior executive assistant or personal assistant experience preferred.
• Experience in performing arts administration or the entertainment industry is a strong plus.
• Passion for the live arts and an interest in producing or general management.
• Highly tech-forward; comfortable managing workflows and building efficient systems.
• An obsession for digital structure, organizational systems, and inbox management.
• Comfortable with irregular hours, including evenings and weekends as needed.
• Thrives working independently in a fast-paced environment where priorities shift quickly and no two days look alike.
• Ability to lift up to 20 pounds.
Compensation & Benefits
• Salary: $55,000–$60,000, commensurate with experience.
• Occasional domestic and international travel.
