About Emerald Coast Theatre Company (ECTC)
ECTC is a leading producer of high-quality professional theater serving the Walton County and Emerald Coast communities. Founded in 2012, ECTC operates year-round with a two-fold mission to provide both educational and professional offerings to the Northwest Florida community. We are expanding our capacity to serve our growing audience and educational programs.
Position Overview
The Special Projects Manager will play a vital role in supporting ECTC's growth and expansion initiatives, with a primary focus on development activities, marketing coordination, and operational support. This position will be instrumental in helping ECTC’s growth, supporting development efforts, and strengthening our organizational infrastructure.
Key Responsibilities
Development Support
Organize and maintain donor information systems and databases
Coordinate donor communications, acknowledgments, and recognition
Support the Producing Artistic Director in development programs and activities
Assist with grant applications, writing, tracking, and reporting
Help coordinate fundraising events and cultivation activities
Provide administrative support for all development activities, including materials preparation and meeting coordination
Marketing Coordination
Manage promotional calendars and ensure consistent execution of marketing strategies
Maintain brand consistency across all communications platforms
Coordinate the production and distribution of marketing materials
Support social media and digital marketing efforts
Track and analyze marketing metrics to evaluate effectiveness
Collaborate with graphic designers, printers, and other vendors
Operational Support
Assist with policy development and documentation
Coordinate internal communications and information sharing
Support basic HR functions and onboarding processes
Payroll management/oversight for employees and independent contractors
Facilitate interdepartmental coordination for special projects
Assist with the planning and coordination of facility activities
Provide administrative support for Board meetings and Council of Advisors
Other Duties as Assigned
House management and box office support and management
Donation Bar oversight
Event support
Other duties as may be assigned
Qualifications
Required
Bachelor's degree in arts administration, business, communications, or related field
3+ years of project management experience, preferably in a nonprofit setting
Strong organizational skills with attention to detail
Excellent written and verbal communication skills
Proficiency with database management (Audience View or similar) and Google Suite
Demonstrated ability to manage multiple projects simultaneously
Experience with data analysis and reporting
Experience with technology like QuickBooks, Mailchimp, Survey Monkey, Sign up Genius, Claude AI, ASAP Student Registration and/or similar
Collaborative work style with the ability to work independently
Supervising Experience
Preferred
Experience in a performing arts organization or cultural institution/non profit organization
Background in development, fundraising, or donor relations
Knowledge of CRM or donor database systems - Audience View or similar
Experience with capital campaigns or major fundraising initiatives
Familiarity with marketing and communications strategies
Understanding of nonprofit governance and operations
Grant writing

Compensation and Benefits
Salary range: $60,000-$70,000, commensurate with experience
