Brooklyn Academy of Music (BAM) is a multi-disciplinary arts center located in Brooklyn, New York. We are seeking a full-time Administrative Production Coordinator to be part of our team to ensure the Production office functions effectively and efficiently, including running payroll and expenditures, facilitating labor requests, and more. The selected candidate will be a creative problem solver, who has excellent communication skills, thrives in a team atmosphere, and can manage a realistic budget. The selected candidate for this position will have early career experience in an administrative theatrical setting, and the ability to see a job through from start to finish. BAM is proud to present some of the most unique programming imaginable from countries, cultures, and languages all over the globe. The Administrative Production Coordinator will be a part of an experienced, collaborative, dedicated production team that is incredibly passionate about doing great work.

Essential Duties & Responsibilities for Production Coordinator

  • Process stagehand, wardrobe, and production consultant payrolls weekly, which involves submitting a variety of weekly, monthly and annual reports to various departments and Local 4. Working with IT to maintain and improve the Stagehand Payroll Program.
  • Complete all finance-related tasks in a timely and accurate manner in order to process weekly payroll and to keep all vendor accounts up to date.
  • Process and track all departmental expenditures made via purchase orders and petty cash.
  • Facilitate building-wide labor requests for a wide variety of departments and arrange production supervisors as necessary.
  • Oversee purchasing and/or acquisition of production office-related materials.
  • Answer phone calls and serve as the point of contact with all internal and external contacts in a friendly and professional manner.
  • Assist in the scheduling of the ancillary spaces and rehearsal studios of the Peter Jay Sharp Opera House and Harvey Theatre for both companies and BAM staff

Required Experience, Knowledge, Skills, and Abilities:

  • Three years of applicable professional theatrical work experience
  • Experience working in a theatrical educational setting
  • Excellent oral, writing, and interpersonal skills Working knowledge of Microsoft Suites
  • Willingness to work on an irregular schedule
  • Experience managing expenditures
  • Experience creating schedules and meeting deadlines
  • Experience solving complicated technical and logistical problems Experience creating budgets
  • Experience working with other cultures and foreign languages
  • Comfortable working with DEI concepts, programs, and initiatives.
  • Must have the ability to satisfy NYC COVID-19 vaccination mandate for businesses.

Working Conditions: Ability to lift up to 30 pounds and stand for prolonged periods of time. Ability to move throughout multiple facilities as required.

Compensation: The salary for this position is $45,588, non-exempt, and eligible for benefits.
