Development Coordinator - Signature Theatre

LISTING INFORMATION

Tony Award-winning Signature Theatre is currently seeking a full-time Development Coordinator, who will report to the Director of Advancement and Planning. The Development Coordinator supports the Development team in meeting Signature Theatre’s fundraising goals. The Coordinator is primarily responsible for processing all gifts across campaigns and sources, including data entry and information tracking. This role also supports the team in stewardship, solicitation, special events and other activities. This position is based at Signature Theatre’s administrative offices in Arlington, VA.





Responsibilities



Data Entry and Information Tracking

- Processes all gifts in our Tessitura database, submits information to the business office, sets up and processes payment plans and matching gifts, and sends acknowledgements in a timely manner

- Creates and distributes tracking reports

- Prepares all reports and distribution lists

- Works with the Finance and Information Services Departments to reconcile to the general ledger donor accounts and works to streamline processes

- Responsible for maintaining donor preferences, event usage, and recognition data in donor database, serves as one of the department’s “Power Users.”

- Works with appropriate staff to initiate queries from the donor database, as needed



Administrative Support

- Manages the expense budget for all development programs

- Maintains donor files, checking all recent correspondence, meetings and participation in Signature Theatre events

- Assists in planning and executing of special event logistics including event follow-up

- Works closely with the development team to plan and execute donor meetings by collecting materials and enclosures

- Coordinates with Donor Services Manager all donor recognition listings including the program book, donor walls and Signature website

- Coordinates the gift acknowledgement process with the Individual Giving team, ensuring timely processing of acknowledgement letters, forms, cards, receipts, and pledge reminders

- Assists in the integration of prospect management files (i.e. profiles, call reports) into the donor database, and with the maintenance of the donor/prospect hard files

- Maintain inventories of all Annual Fund materials

- Answers donor inquiries as needed

- Works with the team to draft appeal and acknowledgment letters

- Serves as development office representative at fundraising and special events, both during office hours and after hours, providing assistance as directed





Qualifications and Capabilities



- Bachelor’s Degree

- Highly motivated, energetic, reliable, independent self-starter

- Demonstrated ability to be proactive with outstanding problem solving skills

- Highly organized with keen attention to detail and ability to prioritize multiple responsibilities

- Ability to interact with staff and donors in a fast paced environment, remaining flexible, resourceful and efficient

- Excellent verbal, written, and organizational skills

- Excellent interpersonal skills

- Maintains a high level of professionalism and confidentiality

- Strong computer proficiency

- Evening and weekend work is required
