Associate Director of Development - San Francisco Playhouse

San Francisco Playhouse is the second-largest nonprofit theatre company in San Francisco. Having grown from storefront to 199-seat theatre in just 10 years, we are powered by a team of energetic and innovative theatre lovers. Founded in 2003 as a 501(c)3 not-for-profit theatre company, our programming includes a six-play mainstage season and a three-play Sandbox Series of world premieres, plus a Rising Star Education Program for high school students. The Associate Director of Development provides administrative and stewardship support to San Francisco Playhouse’s fundraising efforts, including event planning, and is responsible for a portfolio of individual and foundation donors.







As of: March 13, 2018







Hours: 40 hours per week



Status: Full-Time; Hourly; Non-exempt.







KEY Responsibilities:



Reports directly to the Development Director. Duties include but not limited to:







Administrative



· Maintain Development Calendar of Deadlines and Events



· Keep Department on Track of Goals



· Maintain Development CRM and physical filing systems



· Schedule, Record Minutes, and Distribute Minutes for Bi-Monthly Development Meetings



· Train and Supervise Development Department Interns



· Maintain Donation Records across VBO, Salesforce, and reconcile with Quickbooks



Stewardship



· Email and Phone Correspondence with Donors As Needed



· Process Donations and Organize/Write Handwritten Thank You Notes Promptly



· Create and Update our Special Events Calendar



· Plan, Coordinate, Execute, and Follow Up for all Special Events



· Compile Accurate Donor List for Show Programs



· Generate Weekly Donation Report



· Mail Merge Monthly Tax Letters for Donations



· Coordinate Cast Poster Signings for Each Show's Producers



· Staff Nancy Blair Lounge in rotation with the Development Director



Grants and Research



· Research, Write, Compile, and Apply for Grants



· Maintain Communication and Reporting to Funders



· Conduct in-depth donor prospects research on a weekly basis



· Generate Bi-Monthly Research Report



· Maintain Grants Calendar with accurate deadlines



· Maintain Accurate Contact Lists for Institutions



· Invite Institutions to each show and thank accordingly



Solicitation



· Maintain a portfolio of 25 – 50 donors below $1,000 and actively cultivate into Inner Circle donors



· Coordinate Annual campaigns, including End of Year, Subscription Renewal, Rising Star, and End of Fiscal Year (when needed).



· With the Development Director, Write Copy for Solicitation Emails and Direct Mails



· Pull Patron Lists and Segment for Solicitation Emails and Direct Mails



· Brainstorm Fundraising Ideas and Campaign Planning with Development Team



· Coordinate Graphics for Campaigns with Graphic Designer



Requirements:



· Bachelor of Arts Degree



· Minimum 2 years’ experience in Nonprofit Development, preferably in an Arts Organization



· Ability to Multitask



· Keen Attention to Detail and Strong Organization Skills



· Written and Interpersonal Communication Skills



· Ability to Analyze, Problem Solve, and Think on Your Feet



· Flexibility with Shifting Priorities



· Ability to both Collaborate in a Team Environment as well as Work Independently



· Intermediate to Advanced Excel and Mail Merge Skills



· Experience with a CRM (Salesforce a plus)
