The Full Time Finance Coordinator is a key player within Steppenwolf’s finance team. The Finance Coordinator supports the business office through accounts payable (A/P) management, cash management, payroll processing, regulatory reporting, and a high level of communication and coordination with constituents. Responsibilities • Oversees and streamlines the timely processing of payments to vendors by maintaining A/P records and service requests, creating new and updating current vendor files in the accounting system, applying corrections to A/P sessions, and processing all weekly payments submitted through purchase requests. • Assists in the maintenance of daily banking functions by preparing daily cash reports, reviewing and approving positive pay and ACH exceptions, and preparing wire payments for approval and release. Takes actions to support organizational cash flow management, including planning the timing of transactions and conducting corresponding bookkeeping. Serves as the primary petty cash custodian. • Administers changes in the payroll system by setting up and maintaining employee pay records, supporting and maintaining labor allocations, training staff in timekeeping systems, and coordinating payroll processes between Finance and P&C. Creates and edits bi-weekly payroll registers and administers employee benefit deductions. • Assists in the preparation of annual audits and year-end closures by preparing and maintaining schedules, assisting finance team, and preparing and distributing 1099s and W-2s. Prepares sales tax filings, administers business licenses and permits. • Provides administrative support by managing finance-related board committees, coordinating meeting schedules and taking meeting minutes. Coordinates annual budget compilation process, scheduling and attending departmental meetings, and managing budget templates. • Completes other duties as assigned. Qualifications • 1-3 year of experience working in Finance or Accounting Department • Bachelor’s Degree in a quantitative field is strongly preferred; Equivalent work experience in an applicable role will be considered • Ability to learn and apply accounting (NetSuite preferred) and payroll (Paycom preferred) systems • Ability to work in multi-tasked environment with deadlines and prioritize tasks to meet deadlines • Ability to assess issues and formulate a response using analytical and problem solving skills • Proficiency with Microsoft apps, especially Excel and Outlook • Strong communication skills and high-level attention to detail • Ability to sit for extended periods of time and lift 20 pounds Compensation: Salary range: $45,168 - $49,684 per year with excellent benefit package for full time employees, including medical, dental, vision insurance, short-term and long-term disability insurance, life insurance, vacation pay, paid sick time, personal days, Ventra transit benefit program, employee assistance program and 401(k) matching retirement program.
