TERM Open Ended ACT of Connecticut (a not-for-profit professional regional theater located in Ridgefield, CT), is seeking an Executive Assistant to the Artistic Director. Ideal candidate will be a proactive, forward thinking self-starter who enjoys working in a dynamic, creative and changing environment. Duties may include (but not be limited to):
-Maintain, organize and communicate clearly, Artistic Director’s schedule and calendar.
-Type emails for AD from dictation
-Review schedule for AD in advance of each week, inquire as to needs for the week for AD, and prepare whatever AD needs in advance of said needs.
-Type emails for AD from dictation.
-Answer the phone on behalf of the organization and AD. Return phone calls and emails for AD as requested.
-Clear oversight and organization of photos and videos so that AD has the ability to easily find and maneuver these items as needed (and other content) for creation of materials.
-Learn box office and ticketing platforms.
-Organization of casting submissions. Coordinate and organize casting calls.
-Organize and follow up on New Works and creative team submissions.
-Oversight and organization of articles written by AD and others.
- First line of action to ensure marketing teams are scheduled for regular check-ins with AD in advance of deadlines. Creating reminders for Playbill notes, e-blasts, etc… for AD in advance of deadlines.
-Perform Front of House duties as needed throughout the run of the performance.
-Welcome patrons to the theater in a calm, kind and welcoming manner.
-Ordering and picking up meals for AD when needed.
-May also include personal assistant tasks for AD such as mailing letters, picking up items at a store (to be paid for by AD), walking dog, etc…
-And anything else required or requested by AD, or Producing Director on behalf of the AD. QUALITIES REQUIRED:
Strong written, verbal, technological and interpersonal skills.
Exceptional organizational skills and attention to detail.
Ability to multitask and independently prioritize.
Experience working in a fast-paced environment with an understanding of prioritization of workload and a sense of urgency in performing tasks. This is a full-time, in-person position where nights, weekends, early mornings are required from time to time (particularly during special events, pre-production, production, etc… as needed by the Artistic Director).
