Position Purpose

The Annual Fund Coordinator works collaboratively with the Individual Giving team and is responsible for driving strategy and providing an exceptional donor experience for Friends-level donors ($125-$2,499). This position is accountable for meeting budgeted goals and focuses on strategically expanding the Friends-level membership program, with an emphasis on growing contributed revenue and strengthening the donor pipeline. The Annual Fund Coordinator also helps foster an organizational culture of stewardship and gratitude by managing donor benefit fulfillment for all giving levels, processing individual and institutional acknowledgment letters, and maintaining donor recognition listings.

Responsibilities: (please note, this list is not exhaustive, but rather a representation of job duties)

Accountability for Friends' annual fundraising goals (currently set at $470,000, strategies and metrics, participating in ongoing and regular assessment of progress toward these goals.

Soliciting individual gifts ranging from $125 to $2,499 and completing the necessary follow-up to advance the conversation and secure support to meet revenue goals.

Sharing prompt and meaningful gratitude with individual donors in assigned portfolio.

In collaboration with the Deputy Director of Development and Associate Director of Individual Giving, developing and implementing a calendarized annual plan for cultivation, solicitation, and stewardship for the Friends level ($125-$2,499) donor segment, balancing broad-based and individual outreach, including identifying and implementing new approaches for engaging and recognizing this donor segment.

Working with the Deputy Director of Development and Associate Director of Individual Giving to plan and execute solicitations, stewardship, cultivation, and other communications to Friends level donors.

Project managing the execution of annual fund campaigns, solicitation mailings, and stewardship and cultivation pieces, including working with the mail house to ensure timely, accurate, and high-quality collateral is prepared and delivered.

Managing annual benefit fulfillment, ensuring donors receive accurate benefits in a timely fashion, including coordinating cross-departmentally and arranging signed posters, scripts, and other tangible deliverables.

Maintaining membership management in Tessitura to ensure donors are credited and recognized at their respective giving levels.

Preparing and executing in-house mailings, including but not limited to, pledge invoices, annual tax statements, season greeting cards, and Trustee birthday cards.

Assuming responsibility for donor recognition listings, ensuring accurate listings in all materials and publications.

Preparing and sending bi-weekly gift acknowledgment letters for individual and institutional supporters, ensuring donors and funders are prompted thanked in a timely fashion.

Assisting the Director of Development and Deputy Director of Development with occasional administrative support, including taking meeting minutes at quarterly Development Committee meetings.

Representing A.C.T. at donor events, while assisting with some special event activities and interacting with donors.

Assisting with other Development projects and duties as assigned.

Qualifications

Demonstrated skill in understanding of cultural differences.

Ability to cultivate and develop inclusive and equitable working relationships with A.C.T. colleagues and stakeholders.

2-4 years of fundraising experience and a proven track record of soliciting donations

Demonstrated track record of developing and executing successful annual fundraising campaigns

Excellent organizational, written, and verbal communication skills

Strong attention to detail

Positive attitude and a passion for playing a role in fulfilling the organization's mission

Ability to handle multiple projects, set priorities, and meet deadlines

A superb commitment to customer service

Ability to liaise comfortably with a wide array of individuals, from staff to high-net-worth donors and Trustees

Discretion with handling confidential information

A sense of humor and strong work ethic
