LISTING INFORMATION

This entry-level position is part of an ambitious and collegial fundraising team. Primary responsibilities are focused on coordinating efforts to generate support from sustaining level donors (up to $3,500 in annual support). The Annual Fund Coordinator, in collaboration with Development and Marketing staffs, develops and implements direct mail campaigns, coordinates telefunding efforts, and assists in stewardship through communications and events.



Position Functions and Expectations



Annual Fund Management

• Working with the Director of Development and Manager of Development Operations, coordinate two annual fund campaigns per year (including direct mail and email components)

o Generate prospect lists and determine appropriate giving targets

o Draft letters

o Facilitate design of print materials with Marketing

o Schedule direct mail elements with mailhouse

o Schedule email elements with Marketing

o Make cultivation calls and face-to-face solicitations

• Shepherd the components of the telefunding program, including:

o Coordination of data with Marketing

o Development of campaign messaging and incentives for new and increased donations

o Oversight of third-party telefunding agency

• In collaboration with Development and Marketing colleagues, develop and maintain materials required to promote the annual giving campaign, including but not limited to:

o brochures

o descriptions of donor benefits

o emails

o donation webpage

o other communications

• Assist in the implementation of stewardship programs for donors, including but not limited to:

o Distributing tangible donor benefits (such as parking passes and drink vouchers)

o Hosting guests in the donor loyalty lounge

o Supporting events such as backstage tours, shop tours, and open technical rehearsals

• Participate on interdepartmental team that develops best practices for data management



Prospect Management

• Assist other members of the development staff in prospect management efforts at Hartford Stage

o Use tools in Tessitura to create and maintain portfolios for Hartford Stage solicitors (staff and board)

o Analyze donor participation history to determine appropriate solicitation amounts

• Serve as a company champion for best practices in prospect/moves management



Additional Responsibilities



• Work with interns and apprentices to gain their assistance in achieving overall annual fund and prospect management goals

• Work on special events as needed, including attending and working at events and assisting in coordination as necessary.

• Special projects as assigned

• Other duties as assigned



Physical Demands and Work Environment

Mobility and sensory capability required for computer utilization, telephone access and communication, communication one-on-one and in meetings. Moderate noise level. Indoor work climate controlled. Requires weekend and/or evening work.



Position Qualifications



Qualifications

• Experience working with database software

• Fundraising experience (work, internship, volunteer work) preferred

• Well organized, attention to detail, and ability to thrive in a collaborative team environment is key

• Willingness and desire to grow in the field of development

• Interest in the arts and theatre



Knowledge, skills and abilities

• Excellent written and verbal communication skills

• Be well-disciplined, flexible and adaptable

• Have a good sense of humor and a positive attitude

• Ability to work effectively in a creative, innovative and intellectual environment

• Love of theatre

• Exceptional attention to detail and commitment to follow-through

• Knowledge of Tessitura or similar fundraising software is preferred

• Knowledge of Microsoft Office (Word, Excel and Outlook) required
