Administrative Assistant - Employee Leave Cover - George Street Playhouse

George Street Playhouse, a professional, producing theatre company 40 minutes from Manhattan, seeks an Administrative Assistant to cover responsibilities during an employee’s leave of absence. The Administrative Assistant will work closely with the Interim Managing Director, Board of Trustees, and the full George Street Playhouse staff.



Tentative dates of employment will be November 14, 2022 - May 14, 2023.



Essential Job Duties:

- Retrieve mail from company’s P.O. Box each morning and distribute appropriately

- Answer administrative office door and correspond with guests as needed

- Monitor front desk phone, check and forward relevant voicemails daily

- Distribute packages that are delivered to the office to the appropriate staff

- Manage calendars for the Interim Managing Director, Board of Trustees, and the George Street Playhouse organization calendar

- Create Zoom meetings for the Interim Managing Director, Development Director, Finance office, and Board of Trustees

- Distribute pre-meeting materials for all Full Board meetings, Board Committee meetings and Full Staff Meetings

- Prepare meeting agendas and meeting minutes for all Full Board meetings, Finance and Executive committee meetings, and Governance and Nominating committee meetings

- Collect and file all new employee Covid-19 vaccination records

- Keep all staff and board contact sheets up to date

- Assist in the new employee onboarding process by distributing relevant pre-employment paperwork, applicable training materials, and working with Middlesex County IT on all new employee needs related to computer and phone

- Record all employee time off (sick, vacation and bereavement)

- Act as the primary contact for all office maintenance and facility needs and correspond with building property management directly

- Serve as a temporary member of the New Brunswick Community Arts Council and attend all meetings scheduled between November 14, 2022 and May 14, 2023



Requirements:

- Candidates must exhibit a strong personal and professional code of ethics

- Highly skilled in Google Calendar, Google Suite Applications, and Zoom

- Reliable transportation

- Excellent verbal and written communication skills

- Good organizational skills and strong sense of professionalism

- Be a team player who can anticipate needs and make thoughtful decisions quickly

- Ability to demonstrate patience in stressful situations

- Ability to stay on schedule and manage schedules of others

- Ability to exercise independent judgment, initiate, problem solve, and diplomatic

- Flexible, adaptable, and works well under pressure



Working Conditions:

- This is a leave of absence cover position beginning November 14, 2022 and ending on May 14, 2023. These dates are tentative and are subject to change.

- In addition to regular office hours (Monday thru Friday 10 am to 6 pm), weekend and evening hours are, at times, required. Weekly work hour schedules for this position are approved by the Interim Managing Director.

- Unless expressly excused by the Interim Managing Director, this position is expected to attend the following during the dates of employment:

- All company “Meet and Greet” events, Opening Night pre - and post-show activities, and at least one preview performance for each mainstage production

- All meetings of the Full Board and Board Committees whether in-person or virtual



COVID-19 vaccination, including all eligible boosters, is a condition of employment. COVID policies are updated regularly to reflect the current local and national health recommendations.

George Street Playhouse currently requires all employees to wear respirator style masks (N95, KN95, KF94). Members of the Production Group will also test per the current COVID policy at the company's expense.



The Opportunity:

George Street Playhouse offers $20.00-$23.00/hour, based on a 40-hour work week. Position begins November 14, 2022 and runs through May 14, 2023. These dates are tentative and are subject to change.
