Status: Full Time, Exempt

Position Type: Full Time, 40+ hours/week

Reports To: General Manager

Musical Theatre West is an arts leader in one of the most culturally rich and diverse areas in the United States. Our community has launched us into a leading professional, award-winning regional theatre with national recognition. For almost 70 years we have been a champion of introducing broader audiences to Broadway caliber musical theatre in Southern California. Our mission is to enrich the community with Broadway-quality productions, preserve musical theatre as a unique American art form and expose people of all backgrounds to the excitement of musical theatre.

Responsibilities:

The Box Office Manager Ensures that all aspects of ticketing and customer service are maintained at a consistently high level with an eye towards increasing attendance and revenue by ensuring that the ticketing and front-of-house are as positive an experience as seeing the show itself.



Primary Areas of Responsibility Include:

• Ensure the Box Office is adequately staffed, both during regular business hours and for performances, and that such staffing is within the approved budget

• Ensure the staff maintains a consistently high level of customer service and is authorized to handle and

resolve customer service issues, including the authority to issue ticket vouchers or refunds if needed

• Is authorized to report any inadequacies in staff customer service to the General Manager or Executive Director

• Able and available to back-up staff members by answering phones, greeting customers, etc., should Box

Office personnel be otherwise engaged

• Creating daily sales reports, ensuring that all deposits balance with said reports and reporting any

discrepancies to the General Manager

• Maintaining updated ticket sales reports and providing those reports to the General Manager, Executive

Director and Board of Directors

• Ensure end-of-show ticket sales reports for royalty payments are generated and brought to Finance Dept.

• Ensure alternate ticketing avenues (i.e., online, consignments) are functional, efficient, accurate and

reconciled

• Assist to create ticketing and customer service policies and procedures, including advising on pricing

• With General Manager, create and oversee the subscription renewal drive, including the creation of the

season in the ticketing software, the generating and distribution of renewal forms, the processing of payments and updated reports, the assignment of seats, and the distribution of the tickets themselves

• Overseeing all aspects of group sales, including issuing of contracts, assigning and distribution of tickets, and processing invoices and payments; Additionally, work to create new avenues for group sales, including mailings, direct contact, and attendance at conferences, seminars, etc.

• Ensure the Box Office has adequate daily supplies (envelopes, paper, pens, etc.) to function normally

and maintains authority to purchase said supplies within the bounds of the approved budget for said items, and report to the General Manager when other supplies (ticket stock, ink and toner, etc.) need to be ordered

• Working with the staff Marketing Coordinator to develop and implement a vision for sales and marketing with an eye towards increased sales and community awareness, including generating reports and analysis to assist in developing that vision.

• Musical Theatre West is recognized as not only a great place to see a show, but a great place to order the

tickets for that show.

• Customer and staff conflicts are minimal, and when they do occur, are resolved efficiently and professionally.

• Information culled from the Box Office is used to successfully assist in guiding the marketing and artistic vision of the company.

Education and/or Experience Requirements:

• Bachelor’s degree in theatre management or a theatre-related field OR four years of experience in a Theatre Management position. Experience in a theatre or nonprofit arts organization a plus.

Preferred Qualifications

• A willingness to embrace and further MTW’s commitment to equity, diversity and inclusion

• Experience working with the public and representing organizations, nonprofit or for profit

• Excellent written and verbal communication skills with strong presentation skills

• Proficient interpersonal skills and the ability to manage a staff as well as work as part of a team

• Strong project management and time management skills including the ability to work on several projects at the same time with similar deadlines

• The ability to maintain diplomacy, and professionalism, discretion and/or confidentiality when handling sensitive information

• Able to model positive communications and behavior with staff and board members from diverse backgrounds

• Comfort with creating, maintaining and navigating databases with a close attention to detail

• Knowledge of musical theatre

• Knowledge of box office ticketing systems, Total Info, Spektrix, Tessitura, etc.

Fast paced, open office environment, frequent interruptions, background noise.

Wages:

Salaried: $60,000 annually

Full Time schedule 40+ hour work week (including some evenings and weekends)
