Development Operations Assistant - The Public Theater

The Development Operations Assistant is responsible for providing support to the Development Operations team and oversight to the overall entry and maintenance of contributions in the Tessitura database. They work with the Manager, Development Operations on financial and database management tasks including processing and acknowledging all gifts and pledges, as well as tracking and confirming all corporate matching gift submissions. Beyond gift processing and receipting responsibilities, they provide support by creating and updating donor records, generating reports and lists, maintaining crediting processes, as well as assist with department training for all gift tracking systems. Responsibilities:Gift Processing and Acknowledgements:?Coordinate the accurate and timely entry of all gifts, pledges, payments and recurring charges in Tessitura. oAnalyze gift details when processing to ensure tracking procedures are upheld upon entry. Included in this is solicitor tracking and crediting standards, source and appeal tracking requirements, associated membership triggers, solicitation plan status changes, and the accurate association of goods and services for generating acknowledgements. oManage pledge reminders/invoices and recurring gift process for all outstanding pledges to ensure payment is received by anticipated due date.oMaintain communication with donors to acquire pledge supporting documents, invoice and acknowledgement preferences, and/or updated payment details.oVerify and process all corporate matching gifts for submission to the matching company; process and enter matching gifts into the database when received and maintain process for impending matching funds and follow-up with company as needed.?Produce/generate acknowledgement receipts and cover letters for all gifts and pledges received within one week from entry. Included in this is knowing who should not be receipted, notifying the appropriate fundraisers to verify and sign the acknowledgement, and maintaining the required elements for a tax receipt according to the IRS.?Oversee the accuracy and maintenance of gift form submissions from all giving areas. ?Coordinate creation of the Playbill donor listings to ensure accurate crediting of donors.Database Maintenance: ?Maintain the accurate movement of contributed revenue projections values as gifts and pledges are secured and entered into the database for all giving areas. ?Add new constituent records to the database for gift processing procedures and analyze information from gift support to populate all appropriate data fields as needed. ?Assist with producing ongoing reports, list pulls, extractions, and other data/reporting requests pertaining to contributed revenue in Tessitura. ?Participate in discussions and evaluations of the Development department?s data entry processes to propose and implement solutions for gift processing, reconciliation, and receipting. ?Maintain process of checking data values triggered from gifts and pledges booked day prior, including membership, plan, and playbill listing level amounts. Department Support: ?Act as department guru for the maintenance, integrity and accuracy of all contribution detail tracking systems. ?Maintain and create documentation for database standards of gift accounting and database management.?Assist the Individual Giving team in the preparation and mailing of all monthly renewal and annual acquisition efforts throughout the year.?Assist the Special Events team at donor events throughout the year, as needed. Competencies and Skills:?Computer skills: experience with fundraising database software, Tessitura; proficiency in MS Word and Outlook, with advanced knowledge of Excel.?Fostering teamwork: as a team member, the ability and desire to work cooperatively with others. ?Oral and written communication: the ability to express oneself clearly in conversations and interactions and in business writing. ?Strong attention to detail and accuracy in recording information.?Organizational Skills: the skills to manage time appropriately, set priorities and tasks, and work efficiently.The Public is committed to creating a diverse and inclusive environment and is proud to be an equal opportunity employer.
