About Newport NewWorks:
The mission of Newport NewWorks is to help bring more original musicals into the world! We foster a supportive, collaborative, and dynamic environment where emerging and established artists can come to play, explore, and do their best work. At every step of the process, we prioritize inclusivity, collaboration, fun, and the highest levels of artistic excellence! Role Overview:
Newport NewWorks seeks a self-motivated, highly organized individual for this hybrid, part-time role (up to 20 hours per week). Primary duties include supporting the Artistic Directors in the day-to-day administrative and operational needs of the organization.Duties include, but are not limited to:
• Schedule and coordinate meetings, take notes as requested, and track follow-up items.
• Maintain project timelines, track action items and deadlines, and proactively follow up to ensure timely completion of organizational priorities.
• Coordinate logistics for NYC readings and workshops, including artist communications, scheduling, venue coordination, materials, and day-of support.
• Facilitate the submission and review process for the annual summer musical theater festival in Newport, RI.
• Support planning and coordination for the annual Newport festival, including artist communications, scheduling, production logistics, and administrative preparation.
• Draft and distribute newsletters, announcements, and other organizational communications.
• Research and track fundraising and sponsorship outreach, including follow-up communications and relationship management.
• Support social media planning and content coordination.
• Serve as a liaison to our artistic, donor, and sponsorship communities.
• Develop and maintain organizational systems, workflows, and tracking tools to support efficient day-to-day operations.
• Regular weekly duties will be performed remotely. Readings, workshops, and other programming support will take place in person in NYC. At least one week advance notice will be given for any in-person dates and needs. Qualifications
The ideal candidate is proactive, resourceful, deeply collaborative, and calm under pressure. They are able to anticipate needs, take ownership of projects, and follow through with minimal direction. Key qualifications include:
• 2+ years of administrative experience -- arts, theatrical production, event coordination, executive support, or a related field preferred.
• Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities, deadlines, and moving pieces independently.
• Excellent written and verbal communication skills, including the ability to draft polished correspondence and communicate professionally with a wide range of stakeholders.
• Strong judgment, discretion, and professionalism when interfacing with artists, executives, donors, and partners.
• Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar, and Forms), with experience maintaining databases, contact lists, and organizational tracking systems.
• Resourceful, solutions-oriented approach, with the ability to anticipate needs, troubleshoot challenges, and take initiative without waiting for direction.
• Comfortable working within a small, collaborative organization where responsibilities evolve and priorities may shift.
• Availability for occasional evening and weekend programming in NYC, with advance notice.
• Familiarity with the musical theater industry, particularly new musical development, readings, and workshops, a plus.
• Experience with fundraising administration, donor relations, sponsorship tracking, or nonprofit arts organizations a plus.
• Familiarity with email marketing platforms (such as MailerLite), Canva, social media management, or CRM systems a plus.
• Experience coordinating artistic submissions, application review processes, or festival programming a plus.
