Tessitura Systems Administrator

POSITION SUMMARY

The Tessitura Systems Administrator serves as a part of a collaborative team and provides central management of the Tessitura database, implements processes to ensure data integrity, develops and manages database business rules, manages the integration of Tessitura and TNEW with the organization’s website, and serves as the key source of patron information for the theatre. The position is responsible for the implementation and maintenance of policies and procedures for constituent database management, troubleshooting and quality control, and database integrity (duplicates).  This position is one of only a few key power users for Tessitura in the theatre and serves as a source of detailed knowledge and expertise about the database as well as serving as a liaison for the organization to Tessitura. The position will maintain a regular reporting strategy for enhanced and improved use of the Tessitura database to assist with achieving goals.

This position reports to the Chief Operating Officer.

ESSENTIAL FUNCTIONS

Data Management

  • Ensure integrity/accuracy of database records and system functionality
  • Troubleshoot all database problems as needed
  • Verify accuracy of data in databases
  • Ensure confidentiality and reliability of data and proprietary information
  • Ensure security for supporter, transactional and financial data
  • Serve as primary contact for working with Tessitura and RAMP Reporting and List Management
  • Assist staff with questions about complex extractions, lists and exports
  • Write and customize Tessitura/SQL reports and Analytics dashboards
  • Manage requests for and completion of custom reports for all departments

 

Serves as database process leader

  • Serve as theatre lead in data integrity and database management
    • Set guidelines and systems regarding data entry and data usage
    • Devise plans for standardizing data entry and ensuring quality control
    • Evaluate, develop and maintain centralized procedures for data management and reporting
    • Determine business rules for Tessitura, communicate business rules to staff and enforce their use
    • Enroll new users and maintain system security
    • Control and monitor user access to database
  • Provide Tessitura training opportunities and updates for all staff
  • Coordinate and plan for future data conversions/upgrades as needed
  • Assist in project planning and consult with internal customers on projects, new technologies and deadlines
  • Assist in setting and achieving long-term objectives for data services
  • Assist with integration of Tessitura with TNEW and Website
  • Act as liaison to Accounting, IT and outside vendors related to Tessitura data issues

 

Season Revenue Forecasting

  • Assist, under the guidance of the Director of Marketing, in putting together revenue model for single ticket and subscription seasons
  • Compile historical research on shows and determine comparable shows for revenue forecasting purposes

 

Website Integration

  • Manage the integration of Tessitura and TNEW with the organizations website, ensuring that all e-commerce connections and purchase/donation paths are properly built
  • Strategize and implement website improvements in collaboration with Director of Marketing and Design and Digital Manager to improve overall website experience for patrons

 

Collaborate with all staff in the furtherance of CTC’s goal of being an anti-racist theatre that works towards Justice, Equity, Diversity and Inclusion

  • Encourage and empower everyone to speak out against racist workplace practices and policies
  • Study topics that lead to a deeper understanding of how white supremacy, racial violence, and systemic racism have shaped American society and how that shapes CTC’s workplace and the lives of CTC employees
  • Positively contribute to the ACT One platform, creating a future where our theatre is a home for all people, all families, reflective of our community

 

POSITION QUALIFICATIONS

Experience

  • Demonstrated expertise in use of Tessitura or similar ticketing system, including knowledge of settlement, data pulls, reporting and basic software management
  • Advanced working knowledge of SQL-based programs
  • Demonstrated skill in working with databases in non-profit organization
  • Demonstrated skill in formatting tables, creating lists and extractions, managing database rules and reference tables, and system/data analysis
  • Demonstrated knowledge of information technology and basic accounting principles

POSITION SUMMARY

The Annual Fund Manager will develop, implement and monitor an innovative and cost-effective individual giving strategy to maximize engagement of and income from individual donors. This position will oversee all development systems related to donations, tracking donations and communications strategies, as well as lead the department’s donor data collection, analysis and reporting. This position will be responsible for managing telefunding campaigns, and direct mail campaigns, with input from Director of Development and Associate Director of Development, Individual Giving.

This position reports to the Associate Director of Development, Individual Giving.

ESSENTIAL FUNCTIONS

Annual Fund and Donor Communications

  • Create and implement cost-effective annual fund strategies and campaigns
    • Oversee direct mail, telefunding, and electronic appeals and communications activities from original concept to delivery, including content and design development, and generation of lists and reporting
    • Create and manage campaign and event communications schedules, and snapshot calendar on behalf of the department
    • Manage relationship with vendors, including mailhouses, printers, and telefunding agencies
    • Create and implement prospecting strategies that build a pipeline of new donors, mid-level donors, and sustaining donors.
  • Drive integration of fundraising messaging and presence within organizational collateral
    • Create and integrate Development content for marketing collateral, including language for subscription, Google grant, and early access campaigns
    • Create Development ads for printed programs
    • Create and update ask language in online cart
    • Regularly update CTC development website pages
  • Develop and foster stewardship and cultivation activities for individual donors
    • Manage development, production, and implementation of quarterly donor newsletter
    • Drive ongoing stewardship efforts over the course of the season, including seat notes, holiday cards, and surprise-and-delight opportunities for donors
    • Manage the acknowledgement process for more than 2,500 donors, updating acknowledgment letter templates and customizing letters as needed
    • Oversee the fulfillment of donor benefits, including managing printed donor recognition lists, tracking complimentary dinner and performance tickets, and ensuring discounts and early access
    • Participate in a variety of special fundraising and cultivation activities throughout the year, including opening night receptions, the Curtain Call Ball, and other donor events

 

Database Management and Supervision

  • Oversee data collection and accurate data entry for the development department; lead department in making data-based decisions to optimize revenue
  • Refine and maximize donor data collection and reporting process
  • Establish and report on metrics for a healthy annual fund campaign, according to best practices
  • Monitor giving trends and use information to format future campaign efforts
  • Prepare reports for leadership and Development committee regarding progress on fundraising activities as needed
  • Identify areas for improved use of Tessitura for development activities and remain up-to-date on Tessitura functionality
  • Maintain understanding of gift entry and document retention policies best practices, providing support to Development Operations Coordinator during high activity seasons and the annual audit

 

General Activities

  • Manage Auction Harmony relationship related to the Curtain Call Ball, ensuring a positive user experience for guests and timely acknowledgment for event donors
  • Work in partnership with other members of the development team to build a strong pipeline of engaged individual donors, and promote the endowment campaign, major gifts, giving circles and planned giving opportunities
  • Supervise interns and volunteers, as available and appropriate
  • Other assignments as directed

Cutter/Draper

Children’s Theatre Company (CTC) is seeking qualified candidates with a background theatrical costume construction and professional theatre or commercial costume production for the position of Cutter/Draper. This is a seasonal benefits eligible position that is guaranteed at least 40 weeks of full-time work each season and is part of a collective bargaining agreement with IATSE Local 13, AFL-CIO.  Per that collective bargaining agreement, in the event that two or more applicants rank equally in hiring criteria, preference of employment will be granted to those who are currently employed by CTC.  This position requires someone who is knowledgeable about a wide range of theatrical costume construction techniques and the functions of a professional costume shop and also have the ability to positively contribute to an anti-racist/anti-bias organization. POSITION SUMMARY

Responsible for the translation of designer sketches into costumes as assigned. Works with Costume Designers and the Costume Director to deliver completed costumes according to design specifications, production demands and deadlines. Able to produce men’s, women’s and children’s period, contemporary or fantasy pieces.

This position reports to the Costume Director.

ESSENTIAL FUNCTIONS

Costume Construction

  • Generate patterns using draping, drafting, or flat pattern techniques based on designer renderings and supporting research
  • Interpret sketches and adjust fit and proportions of sketched designs to individual actors as assigned
  • In consultation with Costume Designer and Costume Director, determine best construction techniques to realize design, making recommendations on fabrics, underpinnings and support structures as needed to create specific silhouettes
  • Construct or supervise construction of mock ups for fittings, inducing altering patterns based on fitting information and cutting costumes from corrected patterns
  • Construct or supervise construction of costumes using a wide range of fabrics, leather, foam, neoprene and trims
  • Pattern and construct all understructures needed for period or fantasy costumes; construct padding, corsets, cages, as dictated by design
  • Attend fittings and fit and alter mockups, pulled, purchased or built costumes for desired silhouette and best fit on actor
  • Communicate all construction and alteration processes and priorities to First Hand and stitchers and supervise construction as needed
  • Coordinate construction as needed with Costume Crafts staff for attachment of headpieces or other costume accessories
  • Coordinate construction schedule with Dyer Painter for any fabric modification that needs to occur before, during or after construction so that all processes are complete and meet deadlines
  • Participate in the scheduling of costume fittings and pace all project work to meet production deadlines
  • Work with Costume Director to communicate best care, repair and handling instructions to wardrobe staff on any specialty fabric or costumes
  • Participate in general department activities including but not limited to: warehouse runs to pull and/or restock costumes, organize and inventory shop supplies, clean and restock fitting rooms and work areas

Generation Now Administrative Fellowship

The Generation Now cohort of theatres, Penumbra Theatre, Ma-Yi Theatre, Latino Theater Company, Native Voices at the Autry and Children’s Theatre Company are proud to announce the Generation Now Administrative Fellowship opportunity.  This is a 12-month fellowship starting in July 2024 and working through the 2024-2025 season.  The purpose of this fellowship is to support the Generation Now collaborative partnership between the five professional theatres. The goal of this partnership is to co-commission and co-develop sixteen new plays by BIPOC artists for multigenerational audiences over five years.  The administrative fellow will have access to a physical work station at CTC in Minneapolis, as well as CTC’s staff and infrastructure and will report to CTC’s Artistic Director.  This position will consult with and report out to the Artistic Directors of all five theatres in the Generation Now cohort.

POSITION SUMMARY

This position builds and installs scenic elements based on designs and concepts the scenic designer supplies through models and drawings.  They also draft construction drawings to be used by the carpenters to build and install scenic elements.  This position spends some time working on the computer in the Tech Office, and some time working down in the theaters and on the shop floor.

This position reports to the Technical Director and works closely alongside the Assistant Technical Director.

ESSENTIAL FUNCTIONS

Drafting and Carpentry

  • Drafting: Working Knowledge of AutoCAD (3D Modeling), 3D Printers, CNC Routers
  • Automation:   Drafting plans for incorporating automation into scenic units, as well as occasional installation and troubleshooting
  • Carpentry: Framing, finishing and detail work
  • Welding: MIG process, Gas cutting and brazing
  • Sculpting: Foam and woodcarving, texture work
  • Stitching: Drops, layout, cutting and sewing of fabric
  • Rigging: Cable Make-up, maintenance, hanging of scenery, special projects
  • Load-in: Installation of scenery, and storage
  • Electrical/mechanical: Build and/or repair of general theatre equipment
  • Other: Duties as assigned

  • Demonstrated skill in the use of 3D modeling in AutoCAD
  • Working knowledge of 3D printers and CNC routers.
  • Working knowledge of scenic automation technology (Creative Conners).
  • Working knowledge of radial arm saws, table saws, band saws, cold saws, drill presses, miter boxes, wood lathes, routers, sanders, MIG welding equipment, sewing machines, electrical and pneumatic power hand tools.
  • Knowledge of safety best practices, fall protection; OSHA 10 or 30 preferred

Ticketing Associate

POSITION SUMMARY

CTC Ticketing Associates provide excellent customer service to CTC patrons and process single ticket, subscription, and Theatre Arts Training class orders and exchanges over the telephone, through the mail, and at the ticket office. This is a great fit for someone who enjoys making conversation, solving problems for others and who can retain a lot of information about a large product catalog. Please note this is currently a remote position; CTC will provide you with a laptop, headset, and mouse.

This position reports to the Ticketing Manager.

ESSENTIAL FUNCTIONS

Ticket Office Duties

  • Answer ticket office phone lines and help patrons remotely
  • Process single ticket, season ticket, student matinee payments, and Theatre Arts Training orders by phone, mail or in person
  • Provide support for exchanges and other issues related to existing orders
  • Occasional outbound calling to subscribers
  • Maintain knowledge of and provide information on all performances, classes, camps, and subscription options as requested by patrons
  • Provide our patrons with a positive experience, from phone call to showtime
  • Complete necessary daily data entry and project fulfillment as assigned
  • Accurately process all forms of payment for orders, including occasional cash transactions
  • Represent Children’s Theatre Company at both internal and external events as requested
  • Attend trainings and meetings as required
  • Provide additional ticket office and marketing support as required

OPEN OVER-HIRE ROLES

Carpenter/Welder – work in the scene shop. Position duties can include but are not limited to carpentry, welding, rigging, load in and strike.  $23.56/hr

Scenic Artist – assist in producing the paint and texture finishes for all scenic elements. Requires excellent drawing and copying skills and the ability to read blueprints and understand scale. $18.00 – $22.00/hr

Electrician – hang, focus and strike lighting equipment. $22.54/hr

Wardrobe Swing – learn dresser tracks and laundry procedures. Cover for wardrobe staff absences and assist with laundry and reset on Saturdays and Sundays during show run. $25.54/hr

Wig Maintenance – maintain wigs during run of a show, approx. 2 hours per day. $22.54/hr

POSITION SUMMARY

The Front of House Associates provide excellent customer service and assist the rest of Front of House staff in ensuring that productions and events are safe, entertaining, and efficiently run.  Front of House Associates duties include scanning tickets, assisting patrons with seating and wayfinding and running concessions.

This position reports to the House Manager. 

ESSENTIAL FUNCTIONS

Patron Services

  • Assist in making sure the lobby, theatre, and concession stand are set up before patrons arrive
  • Provide friendly service to patrons as they arrive, tear/scan tickets, help patrons find their seats, direct them to restrooms, answer questions about the theatre and shows, help with late seating, and watch the house for any general issue that arise before and during the performance
  • Work assigned concessions lanes and gift shop prior to the show, during intermission and post show in a quick and efficient manor while making accurate transactions using the Square sales system
  • Assist in making sure that the patrons all leave the theatre safely post performance
  • Help clean the theatre and restock concessions and gift shop for the next performance
  • Represent Children’s Theatre Company at both internal and external events as requested
  • Attend trainings and meetings as required
  • Perform other duties as assigned by the House Manager and/or Performance Supervisor
  • Project the brand image of CTC through actions and behaviors at events and at the theatre

Physical Aspects

This role is periodically responsible for activities that require certain physical abilities.  CTC will make reasonable accommodations for employees who are not able to perform these activities, but who are otherwise able to perform the essential aspects of the role.  The more physically demanding aspects of the role are:

  • Periodically lifting and moving items like program boxes, concession boxes, merchandise, etc. of up to 50lbs
  • Assisting patrons up and down stairs repeatedly in a darken environment
  • Standing for long periods of time

 

Experience

  • Demonstrated customer service skills including working with diverse groups of people
  • Previous ushering experience in a non-profit or arts organization a plus, but not required

 

Computer Skills

Ability to quickly learn and use institutional programs such as Square, When 2 Work and Paycom

 Certificates & Licenses

  • CPR/AED/First Aid Certification; training is provided for candidates who do not already possess this certification
  • The position is required to be certified to sell and handle alcohol; training is provided for candidates who do not already possess this certification
